Privileges - Documents on server

I am working in an office where all computers (all macs) are connected to a general server. We are having problems with document privileges.

When different people try to edit/delete/move documents created by another user, or even save a new document to a file created by somebody else, a message comes up to saying that they have insufficient privileges to do so. From reading past threads, I think that the problem comes from users using different logins so that the documents are created with permissions set just for this user.

We're all going to start logging in with the same username, which I think may solve the problem for documents created from now on. Am I right? Or is there a better way to get around this?

More importantly... is there a way to change all documents that already exist on the server to be accessible by all and to allow everyone to edit them and save other documents into any folder? Just changing the permissions settings for a specific document seems to do nothing. Plus, we have hundreds of documents so can't change the permissions one-by-one even if that is a potential solution.

Can anybody offer some advice? Thanks in advance!

You can reassign the privileges for all documents,

Locate the folder the documents are in, right click on that folder and select Get Info

The file may be locked at the bottom of the info pane, click the little lock and authenticate as an Administrator.

Next you might see a specific user name in the Sharing & Permissions section.

Change this name to your group name that all of the employees are listed in, or if you are the only folks on the server change it to everyone.
Make sure the setting beside it is also set to read & write.

Next click the little gear and select from the drop down menu, Apply Settings to All Enclosed Items.

You need to first assign users to a group. When that is complete, open up the sharing pane in Server Admin, and find the folder or folders you want to correct the permissions on. Assign that group to an ACL, select Full Control, then, to correct all the file permissions, be sure to migrate all permissions down. This is quicker than assigning ACL's to individual users if you have a common shared directory. Simply setting read/write using POSIX will not allow common sharing to be seamless.
