I'm trying to find the best task management app for me, so far the best I've found is Zenbe lists. Here's what I want:
- Re-ordering tasks easily
- Check off tasks AND THEY DISAPPEAR but can still be recovered if needed.
- Sync tasks with a desktop app, or website, or be able to e-mail (some way back it up) but not have to buy expensive software for syncing ($30+)
- Different categories/folders/lists
I still haven't found any app that comes close to this besides Zenbe Lists. I've tried: Things, Omni Focus, Todo, and What Tasks Lite. Can someone please recommend a to-do list for me if it exists yet?

I've been looking for the same. I'd like it to sync online. Despite that... I just bought Omnifocus because of all the great reviews but haven't had a chance to use it yet.

What didn't you like about Zenbe Lists?

I've been using OmniFocus because it syncs online with MobileMe. With OmniFocus for Mac OS X it all syncs back to your Mac as well. I keep two iPhones updated this way and it syncs automatically within one minute of you making any changes in OmniFocus.

I also purchased Things. It too can sync but only with the desktop version on your computer. Both are extremely nice though I would still choose OmniFocus.

Last there is ToDo. It works fairly well and it can sync with Remember The Milk Toodledo which are both online services and are free.

Again, I think OmniFocus wins though I still have all three on my phones.

What didn't you like about Zenbe Lists?

Zenbe Lists is very bare bones IMO. But it serves the main functions I need. Things like easily changing a task's folder would be useful. Also, I don't like how it has ALL the checked off tasks at the bottom your list, this seems to cause a lot of slow down.

I should add that Things also moves completed items to the Logbook each night and those completed tasks can be re-added and moved anywhere if needed.

Todo, the paid version works great. I sync the tasks with my wife's touch with Todledo.

I think I need to clarify what I'm asking, I've tried all the task management apps that you've discussed, but they don't have the features I need. Looking for something else besides: Zenebe Lists, Things, Omni Focus, Todo, and What Tasks Lite. And it needs to be able to:

PS: I do not have a .Mac account

I really like WhatTasks. It's really well designed. I was using Zenbe Lists for a while but I hated it.

In the non lite version of WhatTasks, do the tasks disappear when you've checked them off? (but still accessible in some sort of archive if needed) Also, is there anyway to sync taks in the non-lite version?

Again, let me re-iterate. I have TRIED "Things" and it does NOT have all the features I need.

In other words: there is no task management application available now that can do those things. I think the quickest way is if you contact one of the application's developers and tell them what you would like.

I have contacted a number of developers, I posted this thread because I haven't tried every task management application, so I was hoping there might be one out there that does these things. Have you tried all of the task management applications in the App store?

There most likely isn't one that can do everything you are looking for or people would have told you about it by now. As is typical with apps in the store, it's either some features in one app and other features you want in another app. Good luck.

Your stated needs are precisely what I wanted in a ToDo app. Plus one more: alarms/alerts. The rest of this will be kinda long, but the original poster is looking for details, so I want to hit the basics as best I can.

I've been through most of the on-the-phone apps, and find all of them lacking in one way or the other. First, the ability to email the list is ok, but it just means extra work for me if a crash/upgrade kills the data on my iPhone (i.e., going thru emails to get the info and put it all together on my desktop). Therefore, if it doesn't actually sync, I don't want it. Second, I want some todo's to be in my face, via an alert of some type. But Apple apparently does not presently allow that, since there's an anti-run-in-the-background rule or something.

I wanted to set up this sort of structure:
-- Home
-- PD (Personal Development/Life Goals)
-- Work
---- Client A
---- Client B
---- (etc)
-- Con$ider ($$ (maybe 2buy items)
-- Photography (hobby)
-- Travel (many work-related trips)
-- Paperless Office (I've killed 9 file cabinets, 3 more to go)
-- Special Days (birthdays, anniversaries, holidays)
...... (so I can set alerts a month or so in advance for card/gift buying, etc)

The only solution I've encountered which covers each and every one of the stated needs = the web-based app, ToodleDo (http://www.toodledo.com). It's "slim" version (http://www.toodledo.com/slim/) works well on the iPhone, allowing categories, folders, lists, re-ordering via a tap or two, etc. And, by choosing which priority level earns an auto-alert (Account Settings), I get my "Big 3" tasks sent via SMS every morning (full text!!), with other critical alerts popping up as desired/configured.

Through minimal taps, I can change the view as desired (web or iphone): by
-- due-date
-- folder/category
-- context (@O&A {out & about}, @Desk...)
-- status (active, next action, etc)
-- priority
-- tags
and likely others I've forgotten. In short, you name it, you can probably get that precise view.

Technically, ToodleDo does not have a sub-category/sub-folder feature. But it does have a "Goals" feature, which I use to handle my by-the-Client todo's. This explains why I went back and added that PD folder (see above) to my tasks area.

There's also a Notebook, using the same folders already set up for the tasks area. It behaves kinda like forum postings, i.e., if you add an URL, it will behave accordingly-- very convenient.

If I'm reading something via my iPhone RSS reader, and want to investigate it further, I send it to email, with that email sent to my special ToodleDo address. It lands in my InBox, which I can easily move to the appropriate folder.

The problem is that sometimes, there's insufficient signal strength to pull the slim version from the web. Or, I may be on the run, and just want to capture my thought/todo quickly without assigning tags/priority/context/etc. The cure = Appigo's ToDo app, as I can sync my entries to toodleDo when coverage returns. Indeed, that is the only reason I paid the $10 for the iPhone-based ToDo, which would otherwise be much too limited for my needs (no contexts, folders, etc).

You may want to spend some time experimenting with ToodleDo. It's free, unless you want the ability to create "sub-tasks", in which case the fee is about $15 for a year. I'm actually glad to see these folks charge for something, as that spells longevity. Be aware: it's wise to spend some time in the forums reading, as this is how I learned about the SMS alerts feature.

Finally, to check out similar web apps, tap the "Upgrade Your Account" link in the lower left column. When the related page appears, scroll to the bottom and tap the "compare us to our competition' link, which will yield the features list per service.

I also use Toodledo to do most of my heavy lifting for task management as most of the time I am in front of a computer and then use Appigo's ToDo while on the run. Appigo are currently working on adding both contexts & tags plus there are contemplating adding sub-tasks (you need to upgrade your Toodledo account for sub-task support) as well so I'm very happy with this solution!

It really makes me wonder though why no other apps have syncing with Remember the Milk or ToDo especially OmniFocus and Things, they would reach a much larger user base if they did but they seem to want to stay Mac only and proprietary, just the thing us Mac users whine about with such apps in the Windows world!

from memory I think in toodledo all you do is drag and drop to reorder, not sure if that order is reflected in ToDo though, will test later.

Yes. At the far left of each item/task, there's a "hand" icon. Situate your cursor there, then drag/drop to wherever. However, I have the Pro option with sub-tasks. I've noticed that the system tends to want to create a subtask, rather than just moving. Then again, maybe it's just me.

On the iPhone, using the "Slim" version:
Apparently not. When you punch and hold an item in prep for moving, it doesn't work. Instead, the screen moves.
Not a problem b/c:
The iPhone/toodleDo tasks screens include an, um, intertwined green double arrow at the top right of the page. Tapping it permits sorting by: alpha, priority, due date, folder, context, goal or tag. That's enough to cover my sorting desires on the phone.​

The Appigo ToDo Factor:
Really limited (presently), comparatively speaking. If you want to do any sorting other than by due date on the iPhone, you'll be using the Slim version of ToodleDo.

Word to the Wise:
If you have any interest in this, you really should set aside an hour or so to just play around at ToodleDo. Only way to determine if it will truly meet your needs. Seems kinda stark when starting, but morphs into a sho 'nuff killa as you get into it. Set up your basic framework at the site, then deal with the iPhone version. The beauty of the whole deal is that you can make it as fully or minimally featured as personally desired.
